A private medical clinic operating high-volume COVID-19 testing during the pandemic was issuing results via printed paper certificates and email attachments. As international travel restrictions began requiring certified test results with strict format and authenticity requirements, the clinic found itself overwhelmed with patient complaints, airline rejections, and border control queries. Airlines and border authorities were rejecting paper certificates that could not be verified for authenticity, and several patients had missed flights because their results documents did not meet the format requirements of their destination country. The clinic processed up to 400 patients per day across two testing locations. Coordinating test processing, result approval by clinicians, and document delivery was creating a bottleneck at the administrative level. Staff were manually emailing results, responding to patient queries about delivery status, and fielding calls from airline ground staff attempting to verify certificate authenticity by phone — a process that was unscalable, inconsistent, and exposed the clinic to fraud and liability risk. Travellers increasingly required results that could be verified digitally at the point of entry, with a tamper-proof mechanism that allowed border authorities to confirm the result had been issued by a licensed clinic and had not been altered after signing. The clinic needed a platform that could digitise, sign, and deliver certified results quickly while providing travellers and authorities with a simple, instant verification mechanism that removed all ambiguity about authenticity.

Our Approach

The Solution

Zentric Solutions built a secure digital result delivery platform on AWS that automated the full journey from test processing to certified document delivery. When a clinician approved a test result in the system, the platform generated a formatted certificate containing the patient's verified identity, test type, result, collection timestamp, and clinician details. Each certificate was digitally signed using asymmetric cryptography before being embedded with a unique QR code that encoded the certificate hash and a verification URL. Patients received their certified result via a secure link delivered by email and SMS within minutes of clinician approval. Clicking the link opened a tamper-evident document with a visible verification badge confirming the certificate's authenticity and integrity. Border authorities and airline staff could independently verify any certificate by scanning the embedded QR code, which retrieved the original signed record from the platform and confirmed in real time whether the document was genuine and unaltered. The platform was built with a React-based clinician portal that streamlined the result review and approval workflow, reducing the administrative time per result from several minutes to under 30 seconds. A patient-facing status tracker allowed travellers to monitor their result in real time, dramatically reducing inbound phone and email queries to clinic staff. The platform was also designed to accommodate multiple destination country format requirements, with configurable template layouts that ensured certificates met the specific field and layout standards required by different border authorities.
